Duties:
Develop, create, and modify web applications using PHP, MySQL, HTML, Javascript, Linux, and Apache. Assist in maintaining and implementing web-based user interfaces, backend database applications and system level applications. Analyze user needs and develop or modify existing software solutions to correct errors and improve performance. Develop and direct software system testing and validation procedures, programming and documentation. Develop potential software solutions to meet client needs, provide support to quality control by testing functionality and performance of software solutions and coordinate software system installation and monitor equipment function to ensure goals are met.

Overall Responsibilities:
• Receive and organize files from Project Coordinators
• Follow up on missing documentation/receipts with Speakers, Sales Force and Vendors
• Reconcile expenses for individual program folders
• Adhere to corporate compliancy guidelines
• Update database records
* Expenses
* Notes
* Status Updates
* Evaluations
* Profiles
• Monitor database records using administrative reports:
* Program Reports
* Speaker Reports
• Assist Project Coordinators with project specific tasks inclusive of:
* Mail Merges
* Filing, copying, collating, faxing, e-mailing,
* Packaging fulfillment
* FedEx distribution
Specific Duties:
• Post program material follow up
* Follow up includes communications with all parties
• HCPs
• Sales Force
• Venue/Audio Visuals
• Travel
• Data Entry
• Payment Processing
• Scanning & uploading of meeting documents
• Reconciliation
• Ensure accuracy in work prior to submitting programs to finance department.
Job Requirements
• Previous Office experience preferred
• Proficiency in Microsoft Office including: Word, Excel, PowerPoint and Outlook
• Experience in database management
• Excellent organizational skills
• Excellent verbal, phone and written communication skills
• Excellent customer service skills
• Ability to work independently and as a valued team member
• Practical knowledge of basic bookkeeping/accounting
• Arrange for fulfillment of information packages, invitations etc. to clients.
• Follow up communications to the client; including, phone calls, confirmations, faxing, preparation/completion of documentation, as well as liaising with other departments.
• Adherence to standard operating procedures and informed compliance guidelines.
• Associate degree or equivalent education and work experience
Project Coordinator
This position is responsible for coordinating all aspects of multiple medical education programs in varying service types (full service to speaker only) from inception to completion. It is recommended that coordinators have previous meeting planning experience, preferably in the pharmaceutical industry and knowledge of state & federal regulated compliancy guidelines as well as those dictated by the specific operating company.
A Project Coordinator is responsible for program execution inclusive but not limited to: sales force communication, speaker communications and scheduling, speaker travel arrangements as needed (air, hotel and ground) venue negotiating/contracting, audio visual negotiating/contracting, invitation development, attendee recruitment/confirmation, learning material distribution, speaker expense administration, post program material collection inclusive of; participant sign in sheets and program evaluations and program reconciliation.
In order to perform these functions, the Project Coordinator must have strong verbal/written communication and time management skills. He/she must also must be highly organized, and be able to maintain composure under high pressure situations.

• Proficient use self editing skills for provisions of all meeting materials
• Proficient use of auditing and reconciliation skills

Qualifications:
Bachelor’s Degree preferred
